The question of the day is: \u201cWhat should clients pay for?\u201d<\/p>\n<p>If a client is already handing over a sizable fee to their web designer, might they assume these costs are included?<\/p>\n<blockquote>\n<p>Sure, seems reasonable.<\/p>\n<\/blockquote>\n<p>Couldn\u2019t the web pro purchase items, turn around and invoice with a marked-up price? Yes, of course.<\/p>\n<p>Do I want to do that? photos<\/li>\n<\/ol>\n<p>Oh boy, that\u2019s a long list of \u201cextras\u201d I\u2019m asking clients to purchase. And you may have additional items for your own list.<\/p>\n<p>Beyond the simple who-pays-for-what decision, let\u2019s dig into the justification, the logistics, and the necessary communication.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"When_determining_who_should_pay_for_each_item_consider_these_factors\"><\/span>When determining who should pay for each item, consider these factors:<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<h3><span class=\"ez-toc-section\" id=\"Who_should_get_custody_of_the_item_when_the_relationship_ends\"><\/span>Who should get custody of the item when the relationship ends?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Even when the relationship is over, <em>someone<\/em> has the right to keep using the item in question. Perhaps the most critical item is the domain name.<\/p>\n<p>When should the web designer own the client\u2019s domain name?<\/p>\n<blockquote>\n<p>Trick question: the answer is <strong><em>never<\/em><\/strong>!<\/p>\n<\/blockquote>\n<p>If you\u2019re debating this situation with a client, long-term custody should be the convincing factor.<\/p>\n<p>A client\u2019s former web pro purchased her domain name. After the site launch, he disappeared and she lost access to the domain. Together it took us three months of negotiation with the registrar.<\/p>\n<p>Despite the domain name being her unusual name, and her ability to provide proof it was her business, it was still excruciating. I\u2019ve only done this once, but once was enough. Should the client pay for a new license? Not always. For example, I have a developer license for a set of ~50 WordPress themes, which I can use on any and all sites, without paying an additional fee.<\/p>\n<p>There\u2019s no reason clients need to pay again for one of those themes. However, if the client wants a theme outside of this set, we must discuss payment.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Might_the_client_purchase_the_wrong_item\"><\/span>Might the client purchase the wrong item?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>It\u2019s reasonable to assume your clients don\u2019t know what they should buy. If there are multiple options or licensing configurations (such as for a theme, plugin, or hosting package), you want to ensure they don\u2019t get confused and accidentally purchase the wrong item.<\/p>\n<p>When concerned this might happen, I have two options:<\/p>\n<ol>\n<li>Client puts their card on file in the appropriate account, I jump in and make the purchase.<\/li>\n<li>I purchase on my own account and invoice them.<\/li>\n<\/ol>\n<p>But in reality, I often only have one option. If it\u2019s a single purchase, I\u2019ll consider option 2. If it\u2019s an item requiring annual or monthly renewal, I don\u2019t want it on my card and option 1 is it. Period.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Who_is_responsible_for_supporting_the_item_in_the_long_term\"><\/span>Who is responsible for supporting the item in the long term?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>If buying an item with single-site licensing, the client must be able to access support post-launch, instead of relying on the designer. I never assume I\u2019ll be supporting the site forever, even if I\u2019m doing it now.<\/p>\n<p>If the web pro owns a plugin license and something happens to them, or they choose not to renew, the client could be stuck with a nonfunctioning plugin. However, if the client owns the license they\u2019ll always have access to updates and support.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Assuming_the_client_will_foot_the_bill_what_are_the_payment_scenarios\"><\/span>Assuming the client will foot the bill, what are the payment scenarios?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<h3><span class=\"ez-toc-section\" id=\"Client_purchases_and_provides_the_web_pro_with_the_item_or_file\"><\/span>Client purchases and provides the web pro with the item or file<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>This can work well with tech-savvy clients who are capable of securing needed items on their own. I routinely document explicit instructions to minimize the chance of mistakes.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Client_sets_up_their_own_account_and_provides_access_to_the_web_pro\"><\/span>Client sets up their own account and provides access to the web pro<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>For items used <em>only<\/em> on this client\u2019s site (such as a domain or SSL), it\u2019s reasonable to expect they should have their own account and pay with their credit card.<\/p>\n<p>Depending on the type of account, they can choose to provide direct access to their web designer. This is potentially a security risk, so it\u2019s my last resort option.<\/p>\n<blockquote>\n<p>However, if you\u2019re a <a href=\"https:\/\/www.godaddy.com\/pro\" data-eid=\"procontent.garage.items-require-clients-buy.product.link.click\" data-wpel-link=\"internal\" target=\"_self\" rel=\"follow noopener\">GoDaddy Pro<\/a> member set up with <a href=\"https:\/\/www.godaddy.com\/pro\/hub-dashboard\" data-eid=\"procontent.garage.items-require-clients-buy.hub.link.click\" data-wpel-link=\"internal\" target=\"_self\" rel=\"follow noopener\">The Hub<\/a> and your clients use GoDaddy products, you can access their accounts via delegated access.<\/p>\n<\/blockquote>\n<p>This could also apply to plug-ins, themes, or other specific tools requiring single-user authorization.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Web_pro_pays_for_the_item_and_bills_the_client\"><\/span>Web pro pays for the item and bills the client<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>For small, single-use items which may be discounted if purchased in bulk, it can work well for the web pro to purchase and then bill clients.<\/p>\n<p>For example: I buy large credit packs at my favorite stock image libraries. If clients need images, it\u2019s quick to download, use my credits, and invoice the client. I get a small discount by purchasing credits in large packages.<\/p>\n<p>Suppose individually purchased credits are $10, but I can buy 25 credits for $200. I\u2019ll still charge the client $10 for each credit used. It\u2019s a tiny profit for me, but worth the much simpler process for them.<\/p>\n<p>They don\u2019t need to create an account and buy credits, especially if they don\u2019t know how many they will need. In the end, they\u2019re paying the same as if they had purchased individual credits.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Make_advance_decisions_about_which_costs_youre_willing_to_cover\"><\/span>Make advance decisions about which costs you\u2019re willing to cover<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Items I pay for include the following:<\/p>\n<ul>\n<li><a href=\"https:\/\/www.studiopress.com\/\" data-wpel-link=\"external\" rel=\"nofollow external noopener\">Genesis themes<\/a> &#8211; I\u2019ve successfully focused on this theme set for many years. The variety is such that I\u2019ve always been able to find a theme meeting the site\u2019s needs. As a bonus, I\u2019ve gained expertise on their particular implementation methods, so can quickly customize any theme. I paid for the set once, with unlimited usage, so there are no ongoing fees.<\/li>\n<li><a href=\"https:\/\/www.gravityforms.com\/\" data-wpel-link=\"external\" rel=\"nofollow external noopener\">Gravity Forms<\/a> &#8211; my developer license makes it simple to add Gravity Forms to any site. If the client and I part ways, I may let them continue to use my license (as I have no upper limit). I don\u2019t provide any support, and of course if they need to work with tech support directly, they can\u2019t use my account. This does require annual renewal on my part. Some clients choose to acquire their own license post-launch.<\/li>\n<li>Stock images &#8211; as mentioned, this is a time-saver, simplifies the process for clients, and it\u2019s easy to include in invoices for reimbursement.<\/li>\n<\/ul>\n<p>When I\u2019m covering a cost \u2014 and therefore saving clients money \u2014 I let them know they\u2019re getting the freebie. It\u2019s another gentle reminder they\u2019ve chosen to work with someone willing to go the extra mile for clients.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"In_Summary\"><\/span>In Summary<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>While this seems like an issue falling under \u201cwe\u2019ll deal with it when it happens,\u201d I recommend having a well-defined, clearly communicated strategy in place.<\/p>\n<p><strong>Define policies for each item your clients may need to purchase.\u00a0<\/strong><\/p>\n<p><strong>Proactively discuss your policy with clients before any purchasing takes place.<\/strong> Avoid blindsiding them later with the news your fee doesn\u2019t include <em>everything<\/em>.<\/p>\n<p><strong>Prepare your sales pitch.<\/strong> Before clients ask, know just how you\u2019ll describe why your policy protects <em>their<\/em> best interests. Create awareness you\u2019re not doing this to save yourself money, but instead to save them frustration and problems down the road.<\/p>\n<p><strong>Confirm purchases you make on clients\u2019 behalf.<\/strong> If I am purchasing via a client\u2019s account, I always confirm with them before spending any money. It can be a quick email saying \u201cI\u2019m going to purchase [item] for $xx. Just confirming before I charge it to your card.\u201d<\/p>\n<p><strong>Add the appropriate verbiage to your contract.<\/strong> Here\u2019s what my contract says:<\/p>\n<p>\u201cThis fee covers all of my work, including setting up the new WordPress installation, designing, building, and launching the site. It does not include any extra costs to other service providers, such as hosting or domain registration fees, stock image purchases or special-case software or licensing that we need to buy for your specific features. If I purchase additional items on your behalf, that cost will be added to an invoice.\u201d<\/p>\n<p><em>Related: <\/em><em>How to create a web design contract that converts new users into long-term customers<\/em><\/p>\n<p><strong>Communicate in advance any policy around items you let clients use while they are your client. <\/strong>If you allow clients to use tools you own, have a policy for when the relationship ends.
